Archiving employees is a simple way to keep your active staff list clear and organized. With Employee Archiving, you can hide former staff members from dropdowns and communication lists while preserving all past order and communication records.

When to Use Employee Archiving
Use this feature when you want to clean up your employee list, such as:
Removing former staff members who are no longer active
Cleaning up seasonal or part-time employees who have moved on
Keeping dropdowns fast and uncluttered during busy periods
💡 Tip: Archiving does not delete history. You’ll still see archived employees in all past orders and reports.
How to Archive an Employee
Step 1 – Open Your Profile Menu
From your Lovingly dashboard, click the Profile icon in the bottom-left corner.
Step 2 – Go to Settings & Preferences
Select Settings & Preferences from the dropdown.
Step 3 – Select Employee Management
In the left-hand menu under Preferences, click Employee Management.
Step 4 – Archive the Employee
In the Current Employees list, locate the employee you want to archive and click the red Archive Employee icon.
Step 5 – Confirm
A confirmation modal will appear:
"Ready to archive [employee name]? Archiving will hide them from all dropdowns and/or selection lists—but they will stay visible in past orders and reports."
Click Yes, Archive to confirm.
What Happens After Archiving
Employee is removed from all dropdowns and communication lists
Historical order logs and performance data remain fully intact
If the archived employee was set as a default on any workstation, the system clears that assignment automatically
Cannot archive the currently logged-in user (you’ll see an error if you try)
Activity logs record who archived the employee and when
FAQ
Will archiving delete an employee’s history?
No. All past order records, logs, and activity remain intact. Archiving only removes the employee from active dropdowns.
Can I unarchive an employee?
Yes. Contact Lovingly Support to restore any archived employee.
What if the archived employee had an active clock-in?
The system handles this gracefully. Their active logs are preserved, but they won’t appear in new dropdowns going forward.
Why can’t I archive myself?
For safety reasons, you cannot archive the account you’re currently logged into. You’ll need to log out first or have another admin archive your account.
What if the archived employee was set as a workstation default?
The system automatically clears default assignments so workflows aren’t disrupted. You’ll just need to assign a new default employee.
